First customers in virtual assistant work
A retained admin service is a trust business, so warm network first: sixty names, forty usable, one sentence per row on what that operation bleeds time on. The message asks for an introduction, not a sale:
"Hi Dana. We worked together at Meridian, you probably remember me as the one who kept the vendor renewals from imploding. I've taken that operation full-time: I run the back office for a small number of home-service companies, inbox, scheduling, billing chases, the weekly report. If you know an owner who's drowning in that stuff, I'd love an introduction."
Send ten a week; bump at five days, again at two weeks, then stop. From a good forty, ten replies and three to five conversations is healthy. Second channel: the rooms your niche gathers in, answering questions for two months before mentioning what you sell. Platforms are an on-ramp: median VA pay on Upwork sits near thirteen dollars. It all funnels to a discovery call and one question: "If I took three hours a week off your plate starting Monday, what would those hours be?" Their answer is the pilot scope. Then the close: "Two weeks, paid up front. Scope is what we just discussed, and we'll know it's working if [the success signal]." No free pilots: a buyer who won't pay for two weeks won't pay monthly. Scripts in first clients from your network and the discovery call, over the first-ten method.
Pricing in virtual assistant work
The retainer ladder: rung one, hourly pilots at twenty-five to sixty dollars for a US generalist, experienced hands thirty-five to fifty. Rung two, a prepaid block of ten to twenty hours, ten percent off; never sell under roughly ten hours, small retainers carry the overhead of large ones. Rung three, the flat package: a thirty-dollar base becomes a nine-hundred-fifty-dollar monthly package over thirty hours. Solo VAs selling direct land several hundred to two thousand-plus monthly per client. Under every rung sits the floor rate: your true monthly target, benefits and tax sweep included, divided by eighty to one hundred ten billable hours; a mature VA bills 60 to 75 percent of hours. Publish nothing you cannot defend in one sentence: "My rate is forty an hour; ten-hour blocks run three-sixty prepaid." The ladder is the retainer ladder over the pricing method; spread in the honest money.
Rules in virtual assistant work
Start as a sole proprietor with a free EIN and a separate account; the LLC, thirty-five to five hundred by state, waits for real income. General admin VA work needs no license. The agreement carries eight clauses; the load-bearing ones: prepaid monthly retainers due on the first, a stated response window (define it or it becomes "always"), month-to-month with thirty days notice either side, same-day access revocation at offboarding. Money boundary: support billing, never hold client funds or sign anything financial. Self-employment tax is 15.3 percent; filing starts at four hundred net, quarterly estimates at a thousand owed; the 1099-NEC threshold is six hundred, rising to two thousand for 2026 payments. Legal, money, and the contract holds the full table, inside the legal setup framework.
Money in virtual assistant work
Prepaid is the whole system: retainers bill on the first, work starts when payment lands, unused hours expire. An invoice that slips anyway: reminder at day three, personal note at day ten, work pauses at day fifteen. Sweep a quarter to a third of every payment to the tax account. Software runs thirty to sixty dollars a month. Planning number: a VA needs roughly one and a half times the old hourly wage to match a paycheck. This is the money system with prepayment doing the enforcement; failure modes holds the why. Owners pay whatever screams loudest; prepaid retainers never scream.
First hire in virtual assistant work
The long game names the fork: subcontract other VAs and sell capacity, margin between what clients pay and your people cost. Practice depth, four to eight retainers, is the default and a destination. The decision layer is the first-hire decision.
Everything here is condensed from the full course, which walks the ladder and the pilot in full.
